When you’re planning an event, the first questions you should ask yourself are: what is the occasion, and who is it for?

One of the most important things to consider when planning an event is the number of guests you are inviting and how many are definitely attending. You should also consider the type of event you are planning and whether guests will be seated on tables, or in a conference setting, or whether they will be floating in the space, as different space layouts will greatly influence capacity.
When sourcing an event space, it is recommended to hire a venue that can accommodate at least 30% more guests than you are expecting, in case there is a last minute change to the guest list.

3. Location, access and logistics
Location is another important consideration when planning an event. The venue’s location should be easy to get to. Ideally, a short commute from an airport or train station. There should also be free parking spaces for guests if they are travelling by car as well as access points for bringing in external equipment or styling - should you need it.

The best layout for the event space will be determined by the occasion. If you are hosting a business conference, the room layout best suited is cabaret-style. Alternatively, if you are hosting a more intimate business function, you should request either a boardroom, classroom or U-shape layout. If you’re hosting a sit-down dinner you should opt for a banquet layout.

When sourcing a function space there is one big tip: to hire venue catering. All events - whatever the occasion - should offer some sort of refreshment for the guests
However, it should be noted that hiring external catering can be costly and may not fit within your current budget. The same goes for lighting and sound - the ideal scenario would be to hire an event space that offers both in-house catering and AV-equipment so that you don’t have the cost of renting or buying any equipment yourself.
